Terms of Use

Last updated: 28 October 2026

About these terms

Stayem (the website stayem.com and the Stayem apps) is provided by IncubIQ Solutions Ltd, a company registered in England and Wales under number 08788612, based in Cardiff, United Kingdom (“we”, “us”). By creating an account or using Stayem, you agree to these terms. Our Privacy Policy explains how we handle personal data.

Guests and team members who open a link an owner shared with them only need the “Acceptable use” section; the rest is about owner accounts.

Your account

  • You sign in with a one-time code sent to your email. Keep access to that mailbox secure: whoever can read it can sign in as you.
  • You are responsible for what happens in your account and for what you enter.
  • Tell us promptly at hello [at] stayem.com if you think someone else has used it.

Plans

Stayem has a free trial and a Free plan. Until 1 January 2027, every account has every feature. After that, an account has a 60-day trial from its first property, and then moves to the Free plan. On the Free plan the first calendar of your first property stays fully editable; everything else stays visible and keeps syncing, but is read-only. Statistics, profit and loss, the links you share with guests and your team, and notifications other than booking requests need a paid plan; those links pause until you have one. Your data is never deleted because of a plan change.

Paid plans are not on sale yet. When they are, we will publish their prices and terms before anyone can buy one, and you will never be charged unless you choose one.

Your content

You keep ownership of everything you put into Stayem. You allow us to store, process and display it only as needed to provide the service to you: for example, to show your guide to the guests you share it with, to send your availability to the channels you connect, and to publish what you choose to make public (your property page, your availability calendar and its feeds). We do not use your content for anything else, and you can delete it at any time.

Your content must be lawful and must not infringe anyone else's rights. We may remove content that clearly breaks this, and will tell you when we do.

Your guests' and team's personal data

When you record details about your guests, team members or people who send you booking requests, you are the controller of that data and we process it on your behalf, as your processor. You are responsible for having a lawful reason to collect it and for telling those people how you use it. For our part, we:

  • process it only to provide Stayem to you, following your instructions as given by how you use the service, unless the law requires otherwise;
  • keep it confidential, and limit access to the people who need it to run the service;
  • protect it with the security measures described in the Privacy Policy;
  • use only the providers listed in the Privacy Policy, under contracts that protect the data, and update that list before adding a new one;
  • help you answer requests from those people and meet your own obligations, and tell you without undue delay if we become aware of a breach affecting their data;
  • delete it when you delete it or your account, except where the law requires us to keep it, and give you the information you need to show that these commitments are met.

Calendar sync and bookings

  • Stayem syncs calendars with the channels you connect (such as Airbnb and Booking.com) through the calendar links they publish. Channels update those links on their own schedule, and Stayem checks them about once an hour, so a booking can take time to reach another channel. Sync reduces the risk of double bookings; it cannot remove it. Check your channels before you confirm a booking that matters.
  • A booking, booking request or payment arranged through Stayem is between you and your guest. We are not a party to it, we do not take or hold payments, and we are not a travel agent or booking platform.

Figures, invoices and compliance

Income and expense figures, profit and loss, pro-forma invoices and guest requirement checklists are tools to help you keep track. They are not tax, legal or accounting advice. You remain responsible for your tax returns, invoices, registrations and the guest registration or identity checks that apply where your property is.

Acceptable use

Do not misuse Stayem: no attempts to break, overload or bypass its protections, to access accounts, links or data that are not yours, to send spam through it, or to use it for anything unlawful. A link shared with you is for you: do not pass it on beyond the people it is meant for. We may suspend or close an account, or disable a link, that is used this way.

Availability and changes

We work to keep Stayem available and accurate, but we cannot promise it will always be uninterrupted or free of errors. We may change, add or remove features, and will tell you in advance of a change that significantly reduces what you can do.

Liability

To the extent the law allows, we are not liable for indirect or consequential loss, or for loss of profit, revenue, bookings, business or goodwill, including loss caused by a channel's calendar being late or wrong. Nothing in these terms limits liability that cannot be limited by law, including for death or personal injury caused by negligence, or for fraud. If you use Stayem as a consumer, your statutory rights are not affected.

Ending your use

You can stop using Stayem and delete your account at any time, from Profile (see Account & Data Deletion). Deleting your account deletes your data, and the links you shared stop working. We may end these terms if you seriously breach them; except in urgent cases, we will tell you first and give you the chance to export or put things right.

Changes to these terms

We may update these terms. The current version is always on this page, with its date above. If a change is significant, we will tell account holders by email before it applies.

Law

These terms are governed by the law of England and Wales, and its courts have jurisdiction. If you are a consumer living elsewhere, you keep the protection of the mandatory laws of your country and may bring proceedings there.
